Here are great tips to help you plan your year-end party

It’s that time of the year and you’ve been tasked with planning your year-end party. Our experienced Meetings and Events team have put together a few pointers to make sure your year-end party is a memorable one – for all the right reasons!

Start off by deciding on the aim of your party, are you planning a celebration, a teambuilding, a luncheon to kick off the festive season or do you want to look back on the years’ achievements. Whatever the reason, it’s always good to have a starting point.

Once you have an idea, start thinking of the five W’s and H: Where do I host it, when should it happen, what food and drinks should be served, who is invited (staff only or are spouses included), why did they have to pick me and how can I get out of planning it.

Here’s a checklist of the basics:

  • Budget,
  • Venue,
  • Time,
  • Date,
  • Theme,
  • Décor,
  • Food and Beverage,
  • Guests,
  • Entertainment (optional), and
  • Gift (if applicable).

If you are indecisive, gather a team within your company and plan this together – the more the merrier! With all hands-on deck, delegate to get quotes and start putting together your budget.

We suggest you contact your preferred venue in advance and see if they have availability for the day, week or month you would like. Then decide on a time of day, most companies host the party in the morning or at lunch time. Alternatively, host your party in the evening.

You’ve ticked off venue, time and date, next up is the theme. It’s Festive season which makes décor an easy task, but you could kick it up a notch and incorporate a game or pre-arrange a Secret Santa. Build hype around the theme from your invitation to a welcome drink and decorations on the table. Your menu could also include the theme, ask your chosen venue for a buffet and plated meal option.

Golden Tip: Hosting it at a venue that has an all-inclusive year-end package will assist you in cutting costs while giving your employees a good experience.

When it comes to staff etiquette, remind your guests that although it’s a party for them, they are still employees of a company and should represent themselves in a professional manner.

Depending on your corporate policy, a gift for everyone or perhaps a lucky draw on the day is small gesture that goes a long way and will be remembered long after the party ends.
